Jobs on Yale's Student Employment site are set to accept on-line applications from interested students. Here are some tips in working with electronic on-line applicants:
To View Your On-line applicants:
- Log into your job Control Panel
- Find the job that you are looking for. (Only jobs in the "Listed" mode are set to accept new on-line applications)
- Click on "View Applicants" option on the correct job. (The number next to this link specifies how many on-line applicants there are to your job)
- The displays will show you a list of on-line applicants and when they submitted their application.
Features on your "View Applicants" page:
- Those applicants marked as "New!" are ones that you have not "viewed" yet.
- You may sort your applicants by clicking on the column headings (such as App Date, Last Name, E-mail).
- "Preview" allows you to view an applicant without taking off the "new" designation (it is a "sneak peak" at the application).
- "View" allows you to see the student's application information, the answers to those questions you had approved in the "create application" stage of posting a job.
- The Yellow Flag option allows you to mark those students who appear most interesting to you.
- The "Hire" option can be used to submit a Hire Request to Student Employment for students who you have checkmarked.
Managing your on-line applicants (on the "View Applicants" page):
Please reply to Student Applicants.
- Because students applied specifically to your position, they are indeed expecting a reply. Even if you do not intend to hire or interview the student, please notify them so they can cross your job off their list and move on to other positions.
Use the "Greeting" button to acknowledge all student applicants.
- The "Greeting" link at the top of the screen allows you to quickly email all applicants a standardized greeting message. A default message is provided, but feel free to customize.
- Many employers use the "greeting" feature to tell students the time line for applications and/or interviews. Once students are sent a greeting, the system remembers this and will show you the students have been greeted and those who remain to be e-mailed.
Use the "Rejection" link to e-mail student applicants once you are clear you are not interested in their application.
- The "Rejection" link at the top of the screen allows you to quickly email all applicants a standardized message letting them know they are no longer in the running for your job. A default message is provided, but feel free to customize it for your needs.
To Halt Incoming Applicants:
- When you are sure you need no more applicants, move your job to "Review" mode. This allows you to look through your applicants while not accepting new on-line applications.
- To do this:
- Find the job that you are looking for. (Only jobs in the "Listed" mode are set to accept new on-line applications)
- Click on "Review Mode" in the "Update Status" box on the left top corner box.
- This will move your job to Review Mode where the job will no longer be listed and students may not apply.
