Summer Hiring Information

Posting Summer Jobs

Departments searching for summer students may post their jobs at any time. Students typically begin to search in April.  Remember to change the time period to "Summer" as there is a special Job Search based on this field.

Student Employment and non-Yale Students

Hiring students from other universities for either clerical or student work is considered temporary employment.  Please reach out to you Human Resource Generalist for more information on this process. 

Summer Hiring Procedures

All currently enrolled students who will be working during the summer must be hired via Student Employment.  You can request to extend their hire end date if they are continuing in the same job as the academic year, or you can hire them into a new position.

Graduating Students

Graduating students are allowed to continue as student employees for the summer term under the following conditions:

  • they are continuing in the same position from the academic year, or,
  • they are hired to your department for the summer prior to Commencement.

Student Employment loses possession of graduated student data shortly after Commencement; therefore, all processing of graduating student hires must be submitted by Commencement to ensure adequate processing time. 

Please see the section below on Security Card Access if you need to activate a graduating student's ID card for the summer.

Graduating students are not eligible for Federal Work-study funds, and therefore are ineligible for community service positions paid through student employment.

Graduating students are not eligible for remote work outside of the United States.

Incoming Students

Incoming students are eligible for student employment after June 1 when matriculated students and summer term students are transferred to the Student Employment database. The student must have their NetID and a CAS log-in to be employed.

 

Reminders for current users of the system:

  • All graduating student summer timesheets will end prior to the start of the academic year.
  • Be sure to assign secondary or "back-up" supervisors who can approve timesheets in the absence of the primary supervisor. It is recommended that each student timesheet have at least one secondary supervisor.
  • If you need additional supervisors added to your department’s list, please make sure your Business Office has made a request through the Student Employment website.

Deadlines:  Supervisors must approve student timesheets for the prior week's work by Monday at 3 PM.  When there is a holiday during the week, the deadline may change.  All changes will be posted on the Supervisor & Business Office Control Panels.

Security Card Access

All student employees who have been hired through Student Employment for the summer will be granted access to the necessary areas, as any employee would.  The established procedure is the same as for any other employee at the university.

To request access, follow this procedure:

  • The hiring Department or Business Office must send an email to Yale Security at 432.open@yale.edu.
  • The email should include the following:
    • The student’s name
    • The end date of the hire
    • The student’s Net ID or UPI or Proxy Card number from the back of their ID Card

The Security Program will then check the student employment status, if necessary, and reply with the required access.

50/50 Provost Split Program

The 50/50 Provost Split is an academic year program that does not operate during the summer.  The full cost of student wages will be charged to the department COA as listed on the hire record.
