The Federal I-9 form verifies eligibility for employment. All employees must complete this form and have their documents verified within three business days of the hire start date. Employee Services manages the I-9 process. Information regarding the process and document verification can be found here.
How are students notified of the I-9 requirement?
New hourly student hires are sent a "New to Payroll" email that gives the students information regarding Yale's partnership with Equifax, Yale's I-9 provider. The email also contains information on how to complete timesheets and the respective deadlines.
New student employees who are receiving non-hourly payments are not sent an email as the information regarding the non-hourly payment, along with required employment forms, should be communicated to the student from the hiring department.
What if a student does not complete the Federal I-9 form prior to beginning work or receiving payment?
Students who have not yet completed their Federal Form I-9 (submission of form and document verification) will have their hourly and non-hourly positions closed until the Federal I-9 process is completed. Students are notified that their position will be closed due to an incomplete Federal Form I-9 and they are advised to notify Student Employment once this form has been successfully completed.
