Missing Federal I-9 forms and the hire process

The Federal I-9 form verifies eligibility for employment.  All employees must complete this form and have their documents verified within three business days of the hire start date.   Employee Services manages the I-9 process.  Information regarding the process and document verification can be found here.

How are students notified of the I-9 requirement?

New hourly student hires are sent a "New to Payroll" email that gives the students instructions on how to login to Workday and lists the required onboarding documents.  The email also contains information on how to complete timesheets and the respective deadlines.

New student employees who are receiving non-hourly payments are not sent an email as the information regarding the non-hourly payment, along with required employment forms, should be communicated to the student from the hiring department.

What if a student does not complete the Federal I-9 form prior to beginning work or receiving payment?

Students who have not yet completed their Federal I-9 form (submission of form and document verification) will have their hourly and non-hourly positions closed until the Federal I-9 process is completed.   Students are notified that their position will be closed due to an incomplete Federal I-9 form and they are advised to notify Student Employment once this form has been successfully completed.
