Job Description

The Graduate Assistant will play a key leadership and administrative role in supporting Camp Yale’s Yale Campus Recreation (YCR) cohort. Working closely and in conjunction with the program director and head counselors, this position is ideal for a highly organized, proactive, and compassionate Yale graduate student who enjoys working with students and facilitating outdoor and social programming. The Graduate Assistant will oversee program planning, student leader management, emergency response, and on-the-ground logistics to ensure a successful experience for all participants.

Hybrid work hours in the spring and summer; physical/in-person requirement in August. 

 

Timeline & Weekly Commitment:

  • January–March: Student leader recruitment and hiring (~5 hrs/week)
  • March–May: Student leader training & program development (~5 hrs/week; includes evenings/weekends)
  • May–July: Placement of incoming first-year students and logistics management (~5 hrs/week)
  • August: Program execution and on-site management
  • 10–20 hrs/week leading up to programs
  • Full-time+ during student leader training and program week
  • On-call overnight hours required
  • September–December: Debrief and planning for the next cycle (~2 hrs/week)

 

Key Responsibilities:

  • Coordinate food arrangements (campus dining, takeaway, or vendor-based)
  • Organize all travel and transportation needs
  • Reserve rooms and campus spaces as needed
  • Manage purchasing of program swag and supplies
  • Serve as the first point of contact for student leaders during emergencies
  • Accompany students to the hospital when necessary
  • Coordinate medical care for sick or injured students
  • Communicate with YCDO staff regarding ongoing or major incidents
  • Be present and reachable 24/7 during student leader training and program implementation
  • Lead training sessions and provide ongoing support
  • Oversee and mentor student leaders during Camp Yale
  • Collaborate with student leaders to design engaging social and bonding activities (2–6 hours/day during programs)
  • Gather feedback from both leaders and first-years to improve programming
  • Implement feedback to refine future Camp Yale experiences
  • Coordinate all communications among:
  • Program directors and student leaders
  • Program directors and first-year participants
  • Student leaders and first-year participants
  • Attend YCDO Camp Yale Programs (CYP) Directors Meetings
  • Maintain up-to-date information on YCDO’s web pages for each cohort
 
Additional Responsibilities:
  • Support first-year students unable to complete their assigned program
  • Manage student placement changes and transitions
  • Ensure all participants feel included, safe, and support

  • Enthusiasm for outdoor and recreational programming
  • Enrolled Yale graduate student in good standing
  • Demonstrated leadership and event planning experience
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Ability to remain calm and effective in high-stress situations
  • Experience with student programming, mentoring, or residential life preferred but not required
Compensation $22.00
